Privacy policy
This policy explains how I collect, use and look after your personal information when you visit caitlinpell.com, book a session or join the Ananda membership.
1. Who I am
I'm Caitlin Pell, a Reiki Master, energy healer and women's coach. I run caitlinpell.com and offer Reiki, energy healing, coaching (including the Becoming Journey) and the Ananda membership.
I am the data controller for the personal information described in this policy. You can contact me at [email protected], by post at 5 Black Wood, Wynyard, Stockton-on-Tees, Billingham, TS22 5GQ, or through caitlinpell.com.
2. What information I collect
Depending on how you work with me, I may collect:
- Your contact details, such as your name, email address and phone number
- Booking details, such as the sessions you book and when
- Payment details. Card details are usually held by the payment provider rather than by me
- Information you choose to share during sessions, such as your reflections, goals and wellbeing
- Your membership status and subscription details
- Website and cookie data
- Your marketing preferences
Some of what you share about your health or wellbeing may be special category data under UK data protection law. Please don't share anything you'd prefer me not to hold.
3. How I use your information
- To manage your bookings, appointments and payments
- To send confirmations, reminders and follow-ups
- To deliver your sessions and coaching
- To give you access to the Ananda membership and send membership updates
- To respond to your messages
- To send marketing, where I have a lawful basis to do so
- For accounting, tax, handling complaints and meeting my legal duties
- To keep my website secure and understand how it's used
I never sell your personal information.
4. My lawful bases for using your information
- Contract: to manage your bookings, deliver my services and run your membership
- Legal obligation: to keep financial and tax records
- Legitimate interests: to run my business, respond to enquiries and keep my website secure, where this doesn't override your rights
- Consent: for certain marketing, non-essential cookies and some uses of sensitive information
Sensitive information needs an additional legal condition, and making a booking alone doesn't cover every use of it. Where I rely on your consent, you can withdraw it at any time. This doesn't affect anything I lawfully did before you withdrew it.
5. Reiki, coaching and wellbeing information
You choose what you share with me during sessions, and I only use it for purposes connected with your sessions.
I won't use identifiable stories about you in testimonials, marketing or on social media without your permission.
I don't recommend sending highly sensitive information by email or social media.
6. Who I share information with
I only share your information where it's needed to run my business, with:
- Website hosting and booking providers
- Email marketing platforms
- Payment and subscription processors
- Cloud storage providers, including Google Drive where used
- My accountant or tax adviser
- Authorities, where the law requires it
Some of these providers may process information outside the UK. Where they do, appropriate safeguards are in place for the transfer.
7. How long I keep your information
- Booking and client records: while you're a client, and for an appropriate period afterwards
- Financial records: for as long as tax and accounting law requires
- Membership information: while your membership is active, and for a reasonable period afterwards
- Marketing information: until you unsubscribe. I keep a record that you've unsubscribed so I don't contact you again
- Sensitive session notes: only where there's a justified reason, and for an appropriate period
When I no longer need your information, I securely delete it or make it anonymous.
8. Your data protection rights
You have the right to:
- Access the personal information I hold about you
- Ask me to correct it
- Ask me to delete it
- Ask me to restrict how I use it
- Object to how I use it, including where I rely on legitimate interests
- Ask for your information in a portable format
- Withdraw your consent at any time
- Complain to the Information Commissioner's Office (ICO)
Some of these rights have exceptions. For example, I may need to keep certain financial records even if you ask me to delete your information.
To make a request, email [email protected]. You can complain to the ICO at ico.org.uk/make-a-complaint.
9. Email marketing
Service emails, such as booking confirmations, reminders, membership access and subscription information, are separate from marketing emails.
You can unsubscribe from marketing at any time using the link in any email, or by contacting me. You'll still receive the essential emails about your bookings or membership.
10. Cookies and website analytics
My website uses cookies to help it work, to understand how it's used and for marketing.
I ask for your consent before using non-essential cookies. You can manage your cookie choices through the cookie settings on this website, or through your browser.
11. Keeping your information secure
I use reasonable technical and organisational measures to keep your information safe. No system is completely secure, so I can't guarantee absolute security.
12. Children's information
My services are for adults unless I say otherwise. I don't knowingly collect information about children without an appropriate reason and suitable safeguards.
13. Changes to this policy
I may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
